Org. Setting and Reporting

This position is located in the Human Resources Section within the United Nations Support Office in Somalia (UNSOS) and is based in Mogadishu. The incumbent will report to the Human Resources Officer and Team Leader for the Client Support Unit.

Responsibilities

Within the limits of delegated authority, the Travel Assistant will be responsible for the following duties: • Coordinate the travel of civilian and military personnel travelling to and from a wide range of member states in connection with mission duties. • Coordinate the processing of entitlements such as airfare, excess baggage, terminal expenses, airfreight, Daily Subsistence Allowance (DSA) as well as Mission Subsistence Allowance (MSA) depending on the category of travelers. • Advise offices about alternative solutions including transportation cost differences, terminal expenses, DSA, stopover allowances, Standards of Accommodation for Air Travel, etc. • Provide information to staff members and UN sponsored travelers on the most direct and most economical routes. • Advise substantive offices, travelers, Mission personnel and Movement Control staff of arrivals’ information, requesting arrangements to be made accordingly. • Submit unused e-ticket receipts for refund upon completion of the refund application forms. • Assist travels on Medical Evacuation and repatriation of human remains. • Coordinate Official Business including emergency travels for Senior Managers and visiting VIPs. • Act as Travel Administrator (TA) for the Missions. • Keep the airfare matrix up to date. • Perform other duties as required.

Education

High school diploma or equivalent is required.

Job – Specific Qualification

A technical or vocational certificate in the field of business administration, travel and related matters or related fields is required.

Work Experience

A minimum of seven (7) years of progressively responsible experience in travel administration, including travel rate calculation, routing, and travel reimbursement, or related area is required. The minimum years of progressive work experience is reduced to five (5) years if candidates possess a first-level university degree. Familiarity with travel related operations including knowledge of Airline Passenger Tariffs and ABS Airways Guide or OAG is required. Working experience in Enterprise Resource Planning (ERP) systems is required. Experience in the United Nations Common System or similar international organization in an operational environment is desirable. Experience working with Travel/Visa services, Uniformed and Government Provided Personnel is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English (written or oral) is required. NOTE: “Fluency equals a rating of “fluent” in all four areas (read, write, speak, understand) and “knowledge of” equals a rating of “confident” in two of the four areas.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
